Capture the request and the dates

Record the leave type, the dates, the hours affected, and the work that will pause. Ask for the request early enough to arrange coverage.

Link the leave record to the coverage plan rather than keeping them in separate messages.

Name the backup and the handoff

For each critical task, name the person covering it and the handoff note. The backup should confirm they can access what they need before the leave starts.

Where no backup exists, the manager decides whether the task pauses or the leave dates change. Do not leave the decision to the person going on leave.

Close the record

On return, confirm that the handoff came back, the access is restored, and the leave was recorded correctly for payroll.

Review recurring coverage gaps quarterly. Repeated shortfalls are a staffing signal, not a scheduling inconvenience.
