Create a Benefits Enrollment Document Index Without Spreading Private Data
Track enrollment evidence with references, states, and owners while files stay restricted.
An index should point to protected evidence rather than copy it. Use a case identifier, document type, received date, version, storage reference, review state, and owner.
Use explicit states such as expected, unreadable, incomplete, conflicting, ready for owner, accepted, returned, and superseded. Link replacements instead of filling a folder with files called final.
Keep the source record intact. Add corrections as dated events, store private details only in the approved restricted system, and give every unresolved item a named owner and next-check date.
The coordinator can check presence, identity match, and readability. The benefits owner or provider decides meaning, eligibility, coverage, acceptance, and exceptions.
Close the work only when the accepted evidence and resulting system state agree. A finished checklist proves that the review happened; it does not prove that an employment, pay, access, or policy decision was correct.
