Philippines Employee Data Request Routing Guide
Route employee-data requests by identity, purpose, authority, minimum disclosure, and verified delivery.
Published September 1, 2026. An employee-data request depends on who is asking, why the information is needed, what authority applies, and which fields may be disclosed. A routing guide lets administrative staff pause safely instead of improvising.
Record the requester, verified identity, purpose, requested fields, population, date range, deadline, approving owner, and delivery channel. A broad instruction such as “send the employee file” requires clarification.
Route internal reporting, employee access, provider operations, legal process, benefits, payroll, and third-party requests to their authorized owners. The coordinator may preserve the request and prepare metadata but does not decide disclosure.
Apply minimum-necessary access during preparation. Restricted sources stay in approved systems. Verify the intended recipient and channel immediately before sending, then retain the delivered version and event.
Close with the decision reference, disclosed fields, source version, delivery evidence, retention instruction, and limitations. Review misroutes and excess disclosure as well as response time.
