Philippines Employee File Naming Standard

Create searchable employee-file names without placing unnecessary personal data in filenames or shared locations.

Published September 2, 2026. A file naming standard should make the record identifiable and versioned while limiting information visible outside the document. Use an internal employee identifier rather than a full name when the approved system supports it.

Define controlled elements such as record category, event date, version, status, and language. Publish allowed values, separator rules, date format, and examples for corrections and replacements.

Keep diagnoses, complaints, pay amounts, identification numbers, and other sensitive facts out of filenames. Folder location and access controls remain part of protection; a tidy name is not a security control.

Never overwrite an accepted record to correct its name. Preserve the original event, create the corrected version, link the records, and let the authorized records owner decide retention treatment.

Sample for missing identifiers, ambiguous categories, duplicate current versions, and files outside controlled locations. Review the standard when systems or record categories change.
