Philippines Employee Record Change Intake Checklist
Validate source, authority, effective date, and downstream ownership before updating an employee record.
Published September 2, 2026. An employee record change begins with a bounded request, not an edited field. Capture the employee identifier, requested change, current value where permitted, proposed value, source, requester, approving owner, and effective date before work starts.
Check whether the source is the approved version and whether the requester can initiate the change. Conflicting documents, retrospective dates, missing approval, or a request sent through an unapproved channel should move to an exception queue.
Map every affected destination, including the core record, payroll input, benefits provider, directory, schedule, and access system. One successful update does not prove that the whole change has propagated.
Use received, validated, approved, entered, independently checked, downstream confirmed, and closed as separate states. Preserve the prior value and event history rather than overwriting the evidence trail.
The coordinator prepares and verifies records; authorized HR, payroll, benefits, security, or management owners decide disputed facts, eligibility, pay, policy exceptions, and corrective action.
