Philippines HR Employee Record Retention Register
Review retention states with source rules and owner decisions kept separate from file disposition.
A retention register identifies the record class, worker reference where necessary, source location, governing policy version, review date, retention state, hold indicator, and accountable owner. File age alone does not establish whether a record may be deleted or must be kept.
A records specialist can inventory locations, flag duplicates, and route an unclear policy or hold status. HR, legal, or the data owner decides retention, disposition, access, and exceptions.
Keep the review evidence separate from a completed disposition record. Use restricted references for sensitive files and preserve the decision source so a later reviewer can understand why the action occurred.
