Stop Duplicate HR Inbox Messages From Becoming Duplicate Work
Link related messages to one case while preserving timing, privacy, and new evidence.
A resent message may contain new evidence or come through another channel. Keep every message as an intake event, then link it to one controlled case only when the match is supported.
Compare sender token, process, relevant dates, case reference, and attachment identity. Mark uncertain matches for review; never merge sensitive cases merely because names or subjects look similar.
Keep the source record intact. Add corrections as dated events, store private details only in the approved restricted system, and give every unresolved item a named owner and next-check date.
The coordinator may acknowledge and route. HR and privacy owners decide consolidation, viewers, response, retention, priority, and treatment of conflicting requests.
Close the work only when the accepted evidence and resulting system state agree. A finished checklist proves that the review happened; it does not prove that an employment, pay, access, or policy decision was correct.
