Keep requests, approvals, calendar entries, and payroll handoffs from becoming one ambiguous status.
Treat an employee request as intake, not approval. Record when it arrived, requested dates, time zone, partial-day marker, and the authoritative storage reference.
Compare the request with the current approved record and display conflicts without choosing a winner. Update downstream calendars or payroll handoffs only from the owner decision, then verify each destination.
Keep the source record intact. Add corrections as dated events, store private details only in the approved restricted system, and give every unresolved item a named owner and next-check date.
The coordinator manages the evidence trail. The designated HR or leave owner decides eligibility, balance, policy, treatment, and exceptions.
Close the work only when the accepted evidence and resulting system state agree. A finished checklist proves that the review happened; it does not prove that an employment, pay, access, or policy decision was correct.
