Philippines Onboarding Document Version Control
Keep onboarding forms, instructions, acknowledgments, and approvals tied to the correct version and audience.
Published September 2, 2026. Onboarding document control prevents a new Philippines-based employee from receiving a stale form or instruction. Start with an approved register naming each document, owner, version, effective date, audience, and source location.
Build the packet from controlled links or files rather than a coordinator’s saved copies. Record which version was delivered to which employee and when, while keeping sensitive forms in their restricted systems.
Separate delivery, accessibility, completion, acknowledgment, approval, and filing. An email sent does not prove receipt, and an acknowledgment does not prove that every required field is complete.
When a document changes mid-onboarding, the document owner decides whether reissue is required. Retain both events, the replacement instruction, and the employee communication rather than silently swapping the file.
Reconcile expected documents against delivered and accepted versions before closure. Escalate missing owners, overlapping effective dates, and unofficial templates instead of selecting a version by appearance.
