A Screenshot Freshness Review for Employment SOPs
Find interface images that now contradict the written procedure before they mislead a new team member.
Screenshots age quietly. A button moves, a field changes name, or an old permission level disappears while the surrounding instructions still sound current. Add every screenshot to a small inventory with its procedure, system, capture date, and owner.
Review high-use and high-risk procedures first. Compare the image with the current authorized interface and the written step. Check labels, sequence, redacted data, accessibility text, and whether the screen shows an option the intended role can actually use.
Do not capture live personal data for convenience. Use an approved test record or redact the image according to company policy. Never place passwords, tokens, private keys, or recovery codes in a procedure.
A coordinator can identify stale images and prepare replacements. The process owner approves the instruction, and the system owner approves any permission-related wording. An updated screenshot must not silently change policy.
Archive the superseded version with the change record, then test the revised procedure with a trained reader. If the reader cannot complete the approved step, the picture is decoration rather than useful guidance.
