When Training Attendance Records Do Not Match
Resolve roster, meeting, and completion-record differences through a repeatable evidence check.
Training records often come from several places: an enrollment list, meeting attendance, a learning platform, and a manager confirmation. Pick the approved completion source for each course before comparing the lists.
Match records using a stable employee identifier rather than display names alone. Check session date, course version, attendance threshold, assessment requirement, and any approved exemption. Keep assessment details and employee notes inside the authorized learning or HR system.
Use reason codes for absent, partial attendance, duplicate identity, late synchronization, missing assessment, approved exemption, and unknown. The coordinator gathers evidence and routes exceptions; the training owner decides whether a requirement was met.
Do not mark someone complete because they appeared in a meeting log. Conversely, do not mark them absent until the approved source and any alternate session have been checked.
After reconciliation, publish the corrected status to the system of record and retain the owner decision. A trend report can show where registration or platform handoffs fail without exposing individual learning records broadly.
