Write the Metric Definition Before Refreshing the Workforce Report
Prevent headcount and attendance numbers from changing meaning between reporting cycles.
A familiar label can hide a moving definition. Before refreshing a workforce report, document what each metric counts, the source system, reporting date, inclusions, exclusions, and owner. "Headcount" might mean active employees, paid workers, or filled positions unless the definition says otherwise.
Keep the calculation beside the definition in plain language. For a rate, name both numerator and denominator. For a snapshot, state the exact cutoff. For a trend, record whether prior periods are restated when source data changes.
The reporting coordinator can extract approved fields, reconcile totals, and flag missing data. The workforce owner decides definitions, treatment of exceptions, forecasts, and who may receive the report.
When a definition changes, preserve the prior version and effective date. Do not splice results calculated under different rules into one trend without a visible note.
Before distribution, reproduce a small sample from the source and check access permissions. A polished chart cannot rescue a number whose meaning or source is unclear.
