Capture the change and the effective date
Record the old value, the new value, the reason, the approver, and the effective date for each change. Separate pay changes from title or manager changes.
Give payroll and access owners the approved change before the effective date.
Update the systems in order
Update the employment record, the payroll register, the schedule, and the system access. Check that the change did not create a duplicate account or an orphaned approval.
Where a change is delayed, record the retroactive correction and the approver rather than editing history silently.
Review monthly
Compare the amendment log with payroll and access changes. A change that appears in one system but not the others is an open item.
The log is the evidence that the change was approved and applied, not just discussed.
